Set up fleet accounts

Create fleet car wash accounts with credit limits, pay terms, contract prices and vehicles, sell washes on account and send monthly statements.

By Onboarding Desk · Updated

Short answer: add the fleet company as a customer with a credit limit and pay term, give it a price group if it has contract prices, add its vehicles and plates, then sell washes to that customer as “credit sales” and print statements at month end.

Steps

  1. Add the company under Customers with its billing contact.
  2. Set pay term (for example 30 days) and credit limit.
  3. If you agreed a contract price, create a selling price group “Fleet – Company name” and assign it.
  4. Add the vehicles and plates.
  5. At the pay station, select the fleet customer and finish the sale without taking payment; it becomes a due invoice.
  6. At month end, print or email the statement from the customer ledger, and record payments as they arrive.
